Questions to answer before building an enterprise application
These are the questions we ask in every discovery session. Having answers ready will save weeks of back-and-forth:
- Do you need real-time data, or is a 15-minute delay acceptable? Real-time requirements (live dashboards, instant notifications) drive architecture decisions early. If your team can work with data that refreshes every few minutes, the system is simpler and cheaper to build.
- How many people will use it at the same time? An app for 50 internal users is a different build than one serving 5,000 field workers simultaneously. Concurrency affects database design, server sizing, and licensing costs.
- What existing systems must it integrate with? List every system the new application needs to send or receive data from: ERP, CRM, accounting software, email, HR tools. Each integration adds scope, and some legacy systems have limited APIs that need workarounds.
- Who approves what, and how many levels deep? Enterprise apps almost always involve approval workflows. Map out who initiates a request, who reviews it, and who gives final sign-off. Multi-level approvals with conditional routing add significant complexity.
- What compliance or audit requirements apply? If your industry requires data retention, access logging, or specific security certifications (SOC 2, HIPAA, ISO 27001), these need to be built into the architecture from the start, not added later.
